Gas Safe Register membership (mandatory, renew annually)
Carrying out gas work without being a member of the class of persons approved by the HSE (in practice, the Gas Safe Register) is a criminal offence, and breaching the gas regulations can bring a substantial fine or a custodial sentence. Renewal is annual, so set a reminder 6 weeks before expiry to make sure you don't lapse.
CP12 certificates issued for all landlord properties
Landlords must have a valid CP12 (Gas Safety Record) for every rental property, renewed every 12 months. Issue the certificate to existing tenants within 28 days of the inspection, and to new tenants before they move in.
Annual boiler service schedule with reminders
Proactive servicing is the backbone of a gas business. Set reminders 4 to 6 weeks before each customer's annual service is due, or let your Tradehand assistant send them for you.
RIDDOR reporting procedure for gas incidents
Under RIDDOR, a registered gas engineer must report a dangerous gas fitting or flue to the HSE within 14 days of getting the information. It applies wherever the fault could kill someone, knock them unconscious or send them to hospital, domestic premises included.
Tool calibration records (flue gas analysers, pressure gauges)
Gas Safe inspectors check calibration records during audits. Analysers need annual calibration; keep certificates on file. Out-of-calibration readings can invalidate a gas safety certificate.

Do I have to be on the Gas Safe Register to work on gas?
Yes. Anyone working on gas fittings or service pipework in the course of business has to be a member of the class of persons approved by the Health and Safety Executive, which is the Gas Safe Register. Working on gas outside that approval is a criminal offence and can bring a substantial fine or a custodial sentence.
How often does a landlord gas safety record (CP12) have to be renewed?
Every appliance and flue the landlord is responsible for must be checked at intervals of not more than 12 months, and the record of that check has to be kept for 2 years. A copy goes to each existing tenant within 28 days of the check.
When do I have to report a dangerous gas fitting to the HSE?
Within 14 days of acquiring the information. The duty covers fittings whose design, construction, installation, modification or servicing could cause death, unconsciousness or hospital treatment through gas leakage, incomplete combustion or combustion products not being carried away.
What do I give a tenant who is only just moving in?
New tenants get a copy of the gas safety check record before they move in, rather than waiting for the 28-day window that applies to existing tenants. Where an occupancy is shorter than 28 days, a legible copy is displayed in a prominent place in the property instead.
