Why HVAC Work Attracts Four Different Kinds of Claim
An air conditioning or refrigeration engineer takes on four risks in one visit: water from condensate and chilled water circuits, refrigerant loss, electrical work at the isolator and the board, and work at height on roof-mounted plant. Each one produces a different claim, and a business interruption argument sits behind all of them when the system serves a shop, a server room or a cold store.
The regulatory anchor is F-gas. Handling fluorinated refrigerants requires certification under the Fluorinated Greenhouse Gases Regulations 2015, which cover containment, leak checking, recovery and the qualifications of the people doing the work. Roof and plant room access falls under the Work at Height Regulations 2005.
No insurance is compulsory unless you employ someone. Public liability is compulsory in practice, because commercial clients, facilities managers and managing agents ask for the certificate before you get near their plant.

Public Liability Insurance: What It Covers
Public liability insurance (PLI) covers third party claims for injury or property damage arising from your work.
What PLI typically covers for HVAC engineers:
- Water damage from a blocked or disconnected condensate drain, or from a chilled water circuit
- Damage to a customer's building fabric during installation: core drilling, cable routes, roof penetrations
- Injury to a customer, tenant or member of the public, including from a dropped component
- Damage to a neighbouring unit or the floor below when a leak passes through the structure
- Legal defence costs, including on a claim that is not upheld
What PLI does not typically cover:
- Putting right your own defective installation, under the standard faulty workmanship exclusion
- The equipment you were working on, under the care, custody and control exclusion
- Pure financial loss such as lost trade while a system is down, unless the policy is specifically extended
- Refrigerant lost to atmosphere, which is usually a regulatory and cost problem rather than an insured one
- Injury to your own employees, which is compulsory Employers' Liability
Cover limits: £2m is a realistic floor for commercial HVAC work and £5m is routinely specified by facilities managers, main contractors and landlords. Domestic-only split system work is often written at £1m or £2m. Ask the clients you want to win, because their subcontract usually names the figure.
Tools and Equipment Insurance
HVAC kit is expensive per item: a recovery machine, a vacuum pump, digital manifold gauges, an electronic leak detector, a flaring and swaging set and a core drill. A single van theft can take out most of it.
- Forced entry: theft from a vehicle normally requires visible evidence of a break-in, which a relay attack does not leave. Ask in writing how your insurer treats keyless theft.
- Per-item limit: recovery machines, leak detectors and core drills routinely exceed the standard single-item cap and need declaring on the schedule.
- Overnight storage: many policies exclude tools left in a van overnight on a public road, or require a locked garage or driveway.
Refrigerant cylinders are worth a separate conversation with your insurer, since some policies treat stock and gases differently from tools.
Commercial Van Insurance
Carrying tools, equipment and refrigerant between sites is business use, and a personal motor policy does not cover it. You want commercial cover for "carriage of own goods", and you should tell the insurer that you carry refrigerant cylinders.
- Third party only: the legal minimum, nothing for your own vehicle.
- Third party, fire and theft: adds fire and theft of the van.
- Comprehensive: the normal choice, and usually required under lease or finance terms.
What it costs: the most recent published Quotezone van insurance price index put the UK average at around £575 a year, rising to roughly £1,140 a year for London-registered vans. Trade-rated cover carrying tools generally prices above that average, so treat those figures as a floor rather than a quote.
Professional Indemnity Insurance for HVAC Engineers
Professional Indemnity (PI) matters more in HVAC than in most trades, because so much of the work involves sizing, selection and performance promises. A system that runs but does not hold the design condition is a financial loss claim, not a damage claim, and public liability will not respond to it.
When PI matters:
- You carry out heat load calculations and select equipment rather than installing to a consultant's design
- You design ductwork, pipework routes or controls strategy
- You commission a system and certify its performance
- You produce F-gas leak check records, condition reports or maintenance regimes that a client relies on
- You act as principal contractor on a plant replacement project
Choosing a limit: commercial clients and consultants normally state the figure they require in the contract, so take it from there rather than guessing. Adding PI to an existing liability package is usually cheaper than buying it standalone.
Employers' Liability Insurance
Employing anyone, including an apprentice, an improver or in many cases a labour-only subcontractor working with your equipment, makes Employers' Liability (EL) insurance compulsory under the Employers' Liability (Compulsory Insurance) Act 1969. Regulation 3 of the 1998 Regulations sets the minimum at £5 million for any one occurrence, and £10 million is the market standard.
Roof plant, plant rooms and ladders mean HVAC has a real work at height exposure, and a fall claim can be brought years after the accident.
The penalty for going without: it is a criminal offence. The HSE's guide for employers (HSE40) sets out fines of up to £2,500 for any day you were uninsured, and up to £1,000 for failing to display the certificate or produce it for an inspector. Since 1 October 2008 the certificate may be kept electronically provided employees can reasonably access it.

Getting Quotes and What Drives the Price
Unlike plumbing, roofing and building, the trade insurance market does not publish worked example quotes for air conditioning and refrigeration engineers, so treat any single figure you are shown for "HVAC insurance" with suspicion and get quotes for your own business instead. What actually moves your premium:
- Whether you employ anyone, which is the single biggest step in any trade quote
- Domestic split systems only, versus commercial plant, cold stores and data centre cooling
- Your public liability limit, and whether a client requires £5m rather than £2m
- The value of tools and equipment declared, and whether high-value items are listed individually
- Whether you carry out design, selection or commissioning work that needs professional indemnity
- Work at height and hot works, if you braze on site
Where to get quotes: online trade brokers such as Simply Business and Tradesman Saver, specialist contractor insurers such as Kingsbridge, the trade divisions of AXA, Aviva and Zurich, and any discounted scheme offered through your F-gas certification body. Compare at least three, and check the schedule names refrigerant handling, work at height and any brazing before you compare prices.
