Gas Safe Registration: Business, Engineer and Work Scope

Check recognised competence, the registered business and the engineer's actual work categories. Copy a scope and renewal worksheet before accepting gas work.

Start With the Country and Proposed Gas Work

For gas work within the Gas Safety (Installation and Use) Regulations, competence and the relevant registration are required. In Great Britain, use HSE guidance under the 1998 regulations. Northern Ireland has separate 2004 regulations and HSENI guidance. Gas Safe operates the registration scheme; another professional membership does not replace that registration.

HSE's employer guidance explains exclusions for certain industrial premises. Do not use a domestic checklist to decide every industrial or specialist activity. Identify the premises, fuel and proposed work before deciding which legal and registration requirements apply.

The Business, Engineer and Categories Must Match

Gas Safe's application information separates the registered business from its listed engineers. Engineers undertaking the business's gas work need recognised current competence evidence for the relevant areas. The business is registered only for areas supported by that evidence.

Before accepting a job, check the actual engineer and work categories against the proposed appliance, fuel and activity. “Gas Safe registered” without scope is an incomplete check. If moving from employment to your own business, confirm the new business/engineer arrangement rather than assuming the previous employer's registration transfers.

Prepare the Application Evidence Before Paying

  • Business identity: the actual applicant business and contact details.
  • Engineers: who will undertake the work and the recognised competence evidence for each.
  • Scope: the areas of work supported by that evidence, with missing categories identified.
  • Application terms: current requirements and written charges from Gas Safe; keep training/assessment costs separate from registration costs.
  • Acceptance: confirmation of registration and the actual listed categories before offering that work.

For someone still training, use the gas entry-route checklist. Do not compare course offers only by an advertised time to registration.

A Scope Check for a New Type of Job

Fictional example: Jamie's current record covers the domestic gas work Jamie normally undertakes. A restaurant asks for work on commercial catering equipment. Jamie checks the actual scope rather than assuming domestic registration covers the new request, and refers the work to someone with the required competence and registration if it is outside Jamie's scope.

Keep Registration, Competence and Job Dates Separate

Use the actual register and qualification records to maintain a credential log. Registration renewal and competence expiry are different events; a diary entry does not extend either. Record the responsible person and the next action for each document.

Gas Safe describes technical bulletins, standard updates and safety alerts in registered accounts. Use those alongside relevant HSE bulletins for GB work. Log the notice's country, effective date, affected jobs and action taken rather than only saving a headline.

Keep the Actual Job Documents Together

Agree scope and responsibilities in the quote. Keep the work record and handover document relevant to what the engineer actually performed. A service record, landlord safety record and building compliance notification have different purposes; a blank form does not establish a completed inspection or submit a notification.
