Overheating is a warning sign, not a diagnosis
A hot plug, socket, extension lead or protective device tells you that something needs attention, but temperature alone does not identify the fault. Greater Manchester Fire and Rescue Service lists hot plugs or sockets, scorch marks, frequently blown fuses and flickering lights as signs of loose wiring or another electrical problem. Electrical Safety First also warns that overloading an extension lead, cable reel or adaptor can make it, or the plug in the wall socket, overheat and cause a fire.
Those are useful starting points, not a remote diagnosis. The cause might be associated with the connected load, an accessory, a connection, the circuit, the protective device, or more than one issue. A competent electrician needs to inspect and test the actual installation before deciding what is wrong and what work is required.
For customers, the safe rule is simple: do not keep using an item that is hot, scorched, melted, smoking, sparking or giving off a burning smell. Do not open a socket, consumer unit or plug to investigate. If there is a fire, get out, stay out and call 999.

The first call should establish risk, not guess the repair
A good electrical contractor turns a vague report such as “the fuse box is warm” into a usable job brief without asking the customer to perform unsafe checks. Start with observations the customer can make without touching or opening anything:
- What exactly feels or looks wrong: the appliance plug, wall socket, extension lead, cable reel, switch, or consumer unit?
- Is there smoke, sparking, melting, a burning smell, buzzing, crackling or visible scorching?
- What was being used when the issue appeared, and did anything trip or stop working?
- Is the item still in use, and can people keep away from the affected area?
- Has this happened before, or has the installation or connected equipment recently changed?
Ask for a photograph only when it can be taken from a safe distance. Never ask someone to remove a cover, touch a hot fitting, repeatedly reset a breaker, or recreate the fault for a video. The aim is to decide the urgency and equip the attending electrician: not to test the installation through the customer.
Separate loading problems from installation defects
Electrical Safety First advises users not to exceed the maximum current rating marked on an extension lead, cable reel or adaptor, not to plug one extension lead into another, and to fully unwind cable reels. It also recommends having additional wall sockets installed where a property regularly relies on extension devices.
That advice helps identify one common risk pattern, but it does not make every overheating report an overload. A correctly described load can still sit alongside a damaged accessory, poor connection, unsuitable assembly, faulty product or installation defect. Likewise, a tripped breaker or blown fuse should not be treated as proof that the source of heat has been made safe.
On site, record the connected equipment, manufacturer markings, extension-lead or reel rating, condition of accessible parts and the customer's timeline before disturbing the scene. Then follow the appropriate inspection, isolation and testing procedures for the installation. Use a simple urgency ladder for incoming jobs
The same symptom can arrive as a routine concern or an active emergency, so the intake record should show why the job was prioritised.
- Active fire, smoke or immediate danger: tell the caller to get out, stay out and call 999. Do not coach them through electrical intervention.
- Burning smell, sparks, melting, scorching or an item that is hot: tell them not to use the affected item and keep people away. Arrange prompt professional assessment. If the situation worsens or fire is suspected, use the emergency response above.
- Warmth without visible damage: stop treating the item as normal, capture the circumstances and arrange inspection rather than offering reassurance from a photograph.
- Historic mark or intermittent trip: record when it happened, what was connected and whether it has recurred. It still needs competent assessment; “it is working now” is not a conclusion.
This is a communications framework, not an electrical risk assessment. The attending electrician remains responsible for judging the site, choosing safe working methods and determining whether equipment can remain in service.
Turn the site visit into evidence the customer understands
Customers often hear “loose connection”, “overload” or “faulty breaker” without knowing what was actually observed. A useful handover separates four things:
- The reported symptom: what the customer experienced and when.
- The electrician's evidence: the relevant inspection and test findings, plus photographs where appropriate.
- The safety state: what is energised, what has been isolated or taken out of use, and any restrictions the customer must follow.
- The next action: work completed, further investigation required, or a written quote for remedial work.
A photograph of a scorched accessory is useful context, but it is not a test result. Equally, replacing the visibly damaged part does not by itself explain why it overheated. Record the basis for the diagnosis and the checks relevant to returning the affected circuit or equipment to service. Where another party owns the equipment (for example a landlord, supplier, manufacturer or distribution operator) identify who needs the evidence and what remains outstanding.
Use the job timeline as the backbone, not a chat thread
Overheating jobs generate fragmented evidence: the first message, a customer photo, an urgent attendance, test findings, a quote, remedial work and completion documents. If those live across a phone gallery, messaging apps and an invoice tool, the next person can easily miss why a circuit was left off or what the customer was told.

Before closing the job, make sure the record answers the questions another electrician, the customer or a property manager would ask:
- What symptom was reported, and what equipment or circuit was involved?
- What did the electrician inspect and test, and what was outside the agreed scope?
- What defect or risk was identified, based on what evidence?
- What work was completed, and what remains outstanding?
- What is the final energised or isolated state?
- What instructions were given to the customer, and who received them?
- What quote, certificate, report, photographs or other documents were issued?
That record is more useful than a generic “all sorted” message. It gives the customer a clear outcome, gives the business a defensible account of the visit and gives the next competent person a reliable starting point if further work is needed.
