Job Sign Off Sheet Template

What is it?
A job sign off sheet is completed once, when the job is finished. It is different from a job sheet, which records one visit with its times and materials. This PDF has boxes for the job details, the work completed, changes from the quote, four confirmations for the customer, a snag table with an agreed action and date for each item, and signatures for both sides. It is not an invoice, a receipt or a certificate.
About this template
Fill the sheet in at handover, with the customer present. It records the work completed, any changes from the quote, what the customer has confirmed, the snags that remain with an agreed action and date, and what you handed over. The customer and the tradesperson each print their name, sign and date it.
When to use
- At handover on a job you have finished, with the customer there to look at the work
- When a few small items remain and you want them written down with a date to put them right
- When the customer wants a record that the work was completed
- Before you send the final invoice on a job that ran over several visits
Tips
- 1Walk the work with the customer before they sign, and write each snag down while you stand next to it
- 2Give every snag an agreed action and a date. A snag with no date is not agreed
- 3Tick only the confirmations the customer has actually given. Leave the others blank and note why
- 4List the certificates and guarantees you hand over by name, so both sides can see what was given
- 5Keep your copy with the quote and invoice for the job, and give the customer theirs
Filled example
This example is fictional and uses only the boxes printed on the PDF. It has no real customer name, address or phone number.
Job reference EX-02. Work completed: replaced the bathroom basin tap and fitted a new isolation valve under the basin, tested for leaks at working pressure. Changes from the original quote: none.
Customer confirmations ticked: the work described has been completed, and I am satisfied with the work except for the snags listed. Not ticked: shown how to use what was installed, because the customer was out of the room, to be done at the follow-up.
Snag 1: grout gap behind the basin. Agreed action: reseal. Date to be done: the Friday after handover. The customer and the tradesperson print their names, sign and date the sheet.
