Start with a surveyed scope
A useful EV charger quote lets the customer see exactly what they are buying and lets your installer recognise the same job on arrival. A single line saying “standard installation” leaves both people guessing about cable routes, groundworks and handover.
This worked example is for one charger on a house with private off street parking. The customer wants the equipment on the garage wall and a defined route from the electrical supply. The scope is illustrative, with no example prices. Complete the EV charger site survey record before substituting the customer's actual equipment, route and quantities.
At the top, record the customer and installation address, quote reference, revision, survey date, named installer, validity date and the person authorised to accept the work. Identify who will pay when that differs from the occupier. A tenant arranging access does not establish a landlord's permission.
Worked installation line items
Give each row its own quantity and price from your business. The descriptions below show what belongs in the row; they do not choose an electrical design.

Show the subtotal, applicable tax treatment and total using your quoting system. Separate optional work from the accepted installation total. A customer must be able to decline an option without changing the meaning of the base scope.
Write assumptions that can be checked
Attach a short numbered list to the quote. Each assumption should point to a surveyed fact or a decision still needed:
- Equipment: the quoted model is the version shown in the attached supplier specification; substitutions require approval.
- Position: garage location A and route B are those marked on the survey dated [date]; measured length is [quantity].
- Access: the customer provides access to the listed rooms and clears the work area on [date].
- Use: commissioning demonstrates the agreed functions with the customer's available vehicle and required account access.
- Third party work: name each outstanding permission or supply action, its owner and the response needed before attendance.
Where a fact is missing, write “awaiting [specific information]” and identify who will provide it. Do not turn an unreadable photo into an assumed supply rating. Either resolve the missing fact before a fixed quote or describe the separately agreed survey work that will resolve it.
Separate permissions, network work and grants
GOV.UK identifies EV chargepoints among the energy devices that must be registered with the local distribution network operator. Record who owns the relevant application or notification and retain the response. A quote acceptance does not replace the network process.
Keep grant administration separate from installation pricing. For a grant job, check the current OZEV scheme, installer authorisation, eligible equipment and required evidence. Name the customer application reference and any condition still outstanding; do not promise a deduction merely because the customer has heard about a grant.
For this worked house example, the customer supplies written property permission where required and your firm manages the agreed network submission. If the enquiry involves shared parking or a pavement, replace that example with the actual permissions and works responsibilities before quoting.

Exclusions and changes the customer can understand
Useful exclusions identify work the customer might otherwise expect. For this example: decoration after agreed penetrations, excavation, alterations outside the described circuit work, a second charger, recurring connectivity subscriptions and future vehicle or tariff compatibility changes are outside the scope. Only use exclusions that match your actual offer.
State the change process in one paragraph: “If the equipment, agreed route, access or required works change, we will describe the change and send a revised price for approval before carrying out that additional work.” Record which version replaces the previous quote. Do not leave two accepted versions with conflicting descriptions.
A different cable route is a concrete trigger. Photograph the obstruction, explain the alternative route, price the changed materials and labour, and obtain the authorised customer's decision. That record is more useful than a broad phrase allowing any unexpected charge.
Use the same scope through handover
Before booking, check that the accepted revision, equipment order and outstanding permissions agree. At handover, record what was installed and explain any approved difference from the original scope.
